The Office Administrator is an integral part of the Support Team within the business and is responsible for managing a wide range of administrative and organisational tasks, providing support to management and staff, and serving as a central point of communication within the business.

What You'll Do:

  • Support overflow administrative tasks.
  • Process invoices and ensure accurate coding.
  • Assist in processing expense reports and ensure accurate coding.
  • Prepare reports, presentations and documents as required.
  • Assist with maintaining the travel booking system, ensuring it remains up to date and functional.
  • Set up new users in the travel system and provide basic support or guidance as needed.
  • Ensure travel bookings align with company policies.
  • Meet and greet internal and external clients/candidates in a professional and friendly manner.
  • Ensure the front office, boardroom, and reception areas are clean, tidy, and presented to professional standards at all times.
  • Manage reception enquiries.
  • Manage incoming mail to ensure timely distribution.
  • Maintain the security pass system, ensuring records are up to date and accurate.
  • Issue new passes, troubleshoot issues, and manage replacements as needed.
  • Liaise with building management regarding office maintenance, security, and shared facilities to ensure issues are addressed promptly.
  • Manage office supplies and inventory levels, including stationery and kitchen supplies.
  • Coordinate maintenance of office equipment and facilities.
  • Assist with planning and coordination of office events and celebrations, including catering
  • Assist with stationery orders for the Melbourne office._

    What You Bring:
  • Office experience preferred
  • Professional customer service skills
  • Excellent written and verbal communication
  • Attention to detail and multitasking ability
  • Intermediate skills in Outlook, Word, Excel, PowerPoint
  • Ability to work autonomously
